How a partnership actually runs.

This is the reader's guide to the platform: what a record is, what each stage means, who stamps what, and where a person steps in. It describes what the software does today. There is no public API, so there is nothing here pretending to be one.

The record

A record is one deal. It is the unit everything else hangs off: it has its own reference, a current stage, the documents attached to it, the messages about it, and a list of commitments with who has stamped each one.

The partner and the brand each open their side of it: a partner in Scena, a brand in Vella until signing and in Patron after. The WENOTIFT desk sits between them, so nothing about the deal lives in an inbox and neither side has to ask for an update.

A partner’s side is seen by that partner and the desk, a brand’s by that brand and the desk. Neither is visible to other partners or other brands.

Opening a request

A partner opens a record by filing a request. It is five steps, it saves as you go, and it is available in English and Korean.

01

Company

Who you are and what you run.

02

Markets and goals

Where the show is and what the partnership is meant to do.

03

Commercial

The range you are working in.

04

Rights and timeline

What is on offer and by when.

05

Materials

The assets, decks and documents you already have.

The request is the record's first state. What follows — the shortlist, the deck, the proposal — starts from what was entered here, which is why the form asks for the commercial range up front rather than three emails later.

The shortlist

Brands are matched on who your audience is and which categories they buy from, not on who happens to be in a contact list. The shortlist arrives with its reasoning attached so you can argue with it, and a person from the desk reviews it before anything goes out.

The five stages

A request is always in exactly one of five stages, and each carries a note saying what is needed next and from whom.

01

Received

The request is in and has a reference. Nothing is owed by you yet.

02

In Review

The desk is reading the request and building the shortlist. If something is missing, it shows Awaiting Details and the note says exactly what.

03

Proposal

The desk prepares the proposal and quotation from the request.

04

Approval

Terms are being agreed and confirmed. This is where the money is negotiated, by people, and the letter follows.

05

Activation

The show runs. Commitments are delivered and stamped as they land.

Stages move forward as the desk works. You are not asked to update your own status, and you do not have to email to find out what it is.

The three products

Scena — the partner sidePromoters, labels, agencies, venues and media teams work here. Several clients or shows sit on one dashboard, each with its stage and its documents. Create an account at scena.wenotift.com/register and sign in at scena.wenotift.com/login.
Patron — the brand sideBrands create a free account at patron.wenotift.com/register, with email or Google. Requests, proposals and the letter are worked in Vella; from signing, the partnership runs here: deliverables, approvals, tickets, invoices and reports.
Vella — the exchangeThe sponsor exchange. Partners list open inventory and brands post briefs, each reviewed by the desk before the other side sees it. Brands send requests, review proposals and sign the letter here, and the desk handles every match. There is no separate sign-up: the same WENOTIFT account signs in at vella.wenotift.com/signin.
CultiqThe entertainment intelligence behind the matching — a catalogue of 1,000+ artists and the eight dimensions of FitMatrix. It is also sold on its own at cultiq.app, and the two brands stay standalone.

The letter

The desk files the sponsorship letter on the deal once the quote is agreed. The brand reads it and signs it in Vella’s Proposals by typing their name; WENOTIFT countersigns, and from signing the partnership runs in Patron, with the signed copy attached.

Before it, the brand receives the desk’s quote in Vella and can download a deck generated from the listing. If the record is right, the documents are right.

Delivery proof

Every commitment in the deal is a row. Each row has two stamps: the WENOTIFT desk applies the first, with the proof, when it is delivered; only the brand can apply the second, when they agree it was.

Two stamps, or it is not deliveredA row counts as delivered only when both stamps are on it.
A confirmed row is lockedIt cannot be edited afterwards, by either side.
Nothing disappears quietlyRows that were never confirmed stay visible as unconfirmed.

This is the part that makes the closing report worth reading: the proof is collected while the show is running, by the two people who would otherwise be arguing about it in November.

The closing report

The report is built from the confirmed rows and nothing else. Every line on it is a line the brand already signed off, which is what separates it from a recap written by the people asking to be renewed.

Nothing is added to make the page look fuller. If a commitment was not confirmed, the report does not claim it.

Where people decide

The software finds, scores and drafts. People do the rest, and the split is not decorative:

Every shortlist is readA person reviews it before it leaves the desk.
Every offer is readA person checks each AI draft, quote and letter before it goes out.
A person negotiates the moneyThe commercial conversation is not automated.
Nothing agrees itselfNothing is agreed automatically, and no money moves without a human.

The Desk Assistant on a record answers questions about that record and hands over to a person when the question is one a person should answer.

Access

Coverage

Coverage is separate from where we are based. Deals run across the United States and APAC, including South Korea, Japan, Thailand, Indonesia, the Philippines, Vietnam, Malaysia, Singapore, Taiwan, Hong Kong, China, India and Australia. WENOTIFT Inc is a Delaware corporation headquartered in San Francisco.

This page is kept in step with the product as it ships. Security certifications, uptime commitments and a published support window are not listed here because they are not set yet; they will be added when they are, rather than estimated now.
